Privacy Policy

This Privacy Policy explains how Codex Labs, an operating company of Codex Corp ("Codex Labs", "we", "us" or "our") collects, uses, and protects personal information in connection with this website, labs.codexcorp.ca (the "Site"), and with our work as a software product studio.

Scope. This policy covers the Codex Labs website and Codex Labs as a company and studio. It does not govern the data collected inside our individual software products. The Health Codex, Dream Codex, and Finance Codex mobile apps each have their own Privacy Policy that governs personal information handled within those apps. See Privacy of our apps below for links.

1. Who we are

Codex Labs is the software product company of Codex Corp, based in Vancouver, British Columbia, Canada. We build and own our own software products (including the Health Codex, Dream Codex, and Finance Codex mobile apps) and we take on custom software and product engineering engagements. For matters relating to privacy, Codex Labs is the organization responsible for the personal information described in this policy.

2. Information we collect

We aim to collect only what we need. Through the Site and our studio operations, we may collect:

  • Inquiry and contact details: when you email us or send a project inquiry, we receive the information you choose to provide, such as your name, email address, company or organization, and the contents of your message.
  • Website analytics: we use Google Analytics to understand how visitors use the Site. This typically includes pages viewed, approximate location derived from IP address, referring links, and aggregated usage patterns.
  • Theme preference: your light or dark theme choice is stored locally in your browser (local storage, under the key codex-theme). It stays on your device and is not sent to us.
  • Device and technical information: standard information your browser sends, such as browser type, operating system, screen size, and IP address, used for security, troubleshooting, and analytics.

We do not ask for sensitive personal information through the Site, and we ask that you not send it to us through web forms or email.

3. How we use information

We use the information we collect to:

  • respond to inquiries, scope potential engagements, and communicate with you;
  • operate, maintain, secure, and improve the Site;
  • understand aggregate usage so we can improve content and structure;
  • remember your interface preferences (such as theme); and
  • meet legal, regulatory, and accounting obligations.

4. Consent and legal bases

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (BC PIPA), we collect, use, and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. By contacting us or using the Site, you consent to the handling of your personal information as described here. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us, though doing so may limit our ability to respond to you.

5. Sharing and service providers

We do not sell personal information. We share information only as needed to operate, and with providers bound to protect it:

  • Google Analytics (Google LLC): website analytics. See the Cookie Policy and Google's policies for details.
  • Hosting and content delivery: the Site is hosted on Cloudflare Pages, which processes technical request data to deliver and protect the Site.
  • Professional advisors and authorities: we may disclose information where required by law, to enforce our agreements, or to protect our rights, safety, or property.

Infrastructure and service providers used inside our apps (for example, app databases and authentication) are described in each app's own privacy policy, not here.

6. No sale of personal data

Codex Labs does not sell, rent, or trade your personal information to third parties for their own marketing purposes.

7. International transfers

Some of our service providers (such as analytics and hosting) may store or process information on servers located outside Canada, including in the United States. Where this occurs, your information may be subject to the laws of those jurisdictions, including lawful access by foreign authorities. We take reasonable steps to ensure providers offer a comparable level of protection.

8. Retention

We keep personal information only as long as needed for the purposes described here or as required by law. For example, we retain inquiry correspondence long enough to follow up and meet record-keeping obligations, then delete or anonymize it. Analytics data is retained according to our Google Analytics configuration.

9. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Your rights

Subject to PIPEDA and BC PIPA, you have the right to:

  • ask whether we hold personal information about you and request access to it;
  • request correction of inaccurate or incomplete information;
  • withdraw consent, subject to legal or contractual limits; and
  • ask questions or raise concerns about how we handle your information.

11. Children

The Site is intended for a general, business audience and is not directed at children. We do not knowingly collect personal information from children through the Site. If you believe a child has provided us information, please contact us so we can address it.

12. Privacy of our apps

The data you provide or generate within our software products is governed by each product's own privacy policy, not by this website policy. Please review the policy for the app you use:

13. Cookies and similar technologies

The Site uses cookies and local storage. For full details on what is set and how to manage it, see our Cookie Policy.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be reflected on this page; please review it periodically.
