This Privacy Policy explains how Finance Codex handles your personal information. Please read it alongside our Terms & Conditions and AI Policy.
The most important thing to know: Finance Codex is a manual money-tracking and journaling tool. We do not connect to your bank, we do not access your bank or card credentials, and we do not process, hold, or move any money. Every figure in the app is entered by you.
Who we are
Finance Codex is operated by Codex Labs, a product line of Codex Corp ("Codex Labs", "we", "us", or "our"), based in Vancouver, British Columbia, Canada. For privacy questions, contact us at privacy@codexcorp.ca.
Scope
This policy applies to the Finance Codex mobile and (planned) web and desktop applications, this marketing website, and related services that link to it. It does not apply to third-party services we integrate with, which have their own privacy policies.
Information we collect
Account information
When you create an account through the unified Codex account system, we collect your email address, an optional display name, and authentication data needed to secure your account. We support email and password sign-in, multi-factor authentication (MFA), passkeys, and Google sign-in. We never store your password in plain text, and we do not receive your Google password.
User-entered financial data
Finance Codex stores the financial information you choose to enter, which may include transactions, amounts, categories, notes, budgets, recurring ledgers, account balances, debts, savings, and investment entries. This data is created by you for your own record-keeping.
Device and usage information
We may collect basic device and app-usage information, such as device type, operating system version, app version, and diagnostic or crash data, to keep the app reliable.
Website analytics
This website uses Google Analytics to understand aggregate visitor traffic. Analytics data is collected at the website level and is not linked to your financial records inside the app.
What we never collect: We do not collect your online banking logins, card numbers, or any bank-issued credentials, and we have no connection to your financial institutions. There is nothing for us to link to, because all financial data is manually entered.
How we use your information
- To provide, maintain, and improve the app and its features.
- To create and secure your account and support authentication (including MFA, passkeys, and Google sign-in).
- To parse and categorize the natural-language transaction text you enter and to generate summaries and insights (see our AI Policy).
- To respond to your requests and provide customer support.
- To monitor stability, prevent abuse, and meet legal obligations.
- To understand aggregate website traffic through analytics.
Consent and legal bases
Under Canadian privacy law, we rely on your consent to collect, use, and disclose your personal information for the purposes described in this policy. By creating an account and entering data, you consent to the processing described here. Where appropriate, we also rely on the legitimate purposes of operating and securing the service. You may withdraw consent at any time, subject to legal and contractual limits, by contacting us or deleting your account.
AI processing of your data
When you type transactions in natural language, the text is processed by AI to interpret, categorize, and summarize it. The data sent to AI providers, the limits of automated output, and how to reduce your use of AI features are described in our AI Policy.
Service providers and sharing
We share personal information only with service providers who help us run Finance Codex, and only as needed to provide the service:
- Supabase — hosting, database, authentication, and storage of your account and app data.
- AI provider(s) — to process the transaction text you enter and generate insights, as described in the AI Policy.
- Google — for optional Google sign-in and for website analytics.
We do not sell your personal data, and we do not share it for third-party advertising.
International transfers and cross-border storage
Our service providers may store or process data on servers located outside of Canada, including in the United States and other jurisdictions. Where data is handled outside Canada, it may be subject to the laws of those jurisdictions, including lawful access by foreign authorities. We take reasonable steps to ensure your information is protected wherever it is processed.
Data retention
We keep your personal information for as long as your account is active or as needed to provide the service. When you delete your account, we delete or de-identify your personal data within a reasonable period, except where retention is required for legal, security, or backup purposes.
Security
We use reasonable technical and organizational safeguards to protect your information, including encryption in transit and at rest, and account-security features such as MFA and passkeys. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and to maintain your account's integrity.
Your rights
Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (BC PIPA), you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your account and personal data.
- Export your data, which you can do directly through the app's export feature.
- Withdraw your consent to our processing, subject to legal and contractual limits.

Children's privacy
Finance Codex is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to remove it.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app. Continued use of Finance Codex after changes take effect means you accept the updated policy.
